During the Co-summit, we have the opportunity to showcase the many projects we are working on to those target groups that are of great importance to our organisation. To enable our visitors to get acquainted with our content, guided tours will be organised for small groups of visitors. These are Public Authorities, keynote speakers, journalists and other exhibitors. The purpose of these tours is to ensure a good understanding of the value our projects have to society. All visitors should leave with a positive impression of this year’s Co-summit exhibition. The guided tour will last an hour and every tour group will visit 6 ‘selected’ booths for a project presentation/project pitch. In order to optimally showcase your project, we strongly recommend you to use PowerPoint visuals next to your project posters and leaflets. The flexibility of PowerPoint allows you to adapt your storyline messaging to different audiences.

How to optimise your storyline

To support you with the storyline of your presentation and the most important messages you would like to convey, the ARTEMIS Office offers you 2 special services for free, both by a professional recommended trainer; Mrs. Ellen de Vries.

1. PowerPoint Review

A review of your PowerPoint presentation in advance, including one-to-one feedback, at least two weeks before the Co-summit.

2. Workshop Presentation Pitch

A one-and-half-hour workshop end of day on December 3, focusing on examples of ARTEMIS project presentations/pitches. If required, you can apply for a 15 minute rehearsal of your story with our trainer after this session.

Benefits of a PowerPoint Review

Compared to a poster, a PowerPoint presentation offers you more flexibility, because you can:
> integrate other types of information like short films, demos and a slideshow of pictures
> prepare different slides (presentations) for different target groups
> adapt your slides on site if necessary
> use the PowerPoint for a general (rolling) presentation in your booth.

The review in advance gives you the opportunity to improve the content, before the Co-summit. To kick-off your PowerPoint, the ARTEMIS Office already prepared guidelines and a PowerPoint template.

Why a Workshop Presentation Pitch?

To improve your presentation/pitching techniques and thus focusing on the most important highlights of your PowerPoint presentation and storyline, we invite you to attend the Workshop on the Presentation Pitch. The workshop is targeted to all running ARTEMIS Projects: Call 2010, Call 2011 and Call 2012. This session will help you making your presentation stronger and supports you to present your key messages related to the business value of your project within 5 minutes. You will learn how to ‘pitch’ your project to all visitors of your booth, including the guided tour-visitors. The workshop is ‘learning by doing’ & other project presentations will inspire you too!

Some presentation tips:

  1. Start with a 1.5 minute pitch to capture the attention of the audience. Ensure your presentation is short, simple, to the point and non-technical. Once you have captured the attention and interest of the public, you can show extra, more detailed slides. It is recommended that you prepare such additional slides in advance.
  2. See it from the point of view of your target audience! Think hard about your message and what you want to achieve. Give examples of real situations with human aspects to them to which people can relate.
  3. Use visuals where possible. However, make sure your visuals (images/tables/short films/etc.) are simple, strong and clear.
  4. Keep text short and to the point. Use bullet points, not sentences. Keep your story positive, limit criticism. Omit detail – you can always provide this verbally (or via extra slides). It is your verbal story that counts.
  5. The project leader does not necessarily have to be the presenter.
  6. Don't use precious time presenting the partners involved; if necessary just show the partners on the map.
  7. Lay out your PowerPoint presentation according to the ARTEMIS corporate identity. The template provided is intended to make it easier for you to prepare your PowerPoint presentation. Please adhere to the styles defined in the template. However, please do not feel obliged to use the headings included – these are only provided as indicative labels.

A detailed planning, when to deliver your draft PowerPoint presentation will follow (note: delivering of draft PowerPoint will 07 November next).
