In order to enable the ARTEMIS-IA office to make all the necessary arrangements (e.g. power lines and internet connections) and draw the exhibition floor plan, each exhibiting project is kindly requested to fill in the exhibition requirements form for their project booth. Details concerning the exhibition requirements are listed below.

To avoid any misunderstandings, only one person can update the exhibition requirements form. By default this is the project leader. These rights can easily be transferred to any other person of the project, at the top of the requirement form. If you need help, please contact us.
In order to provide sufficient project information to all participants of the Co-summit, we ask you to add crew members to your booth in the requirements form. Please note that if no crew is added to your booth, your project exhibition will not be accepted at the Co-summit.
Crew members also need to register themselves separately as participant of the Co-summit.
The ARTEMIS-IA office provides all ARTEMIS projects a basic exhibition package free of charge. This package includes: 1 booth, standard furniture, power consumption & supply, 1 wired internet connection, production of 1 project poster & leaflets and a presentation training. All other costs, such as possible shipping costs, rental of additional booth equipment (e.g. LCD screen, projector etc.), accommodation and travel costs for the stand crew, are not included. When ordering a LCD screen for the event, please specify the invoicing details in the requirements form.
The basic booth consists of a 3 meters wide back wall, with space in front to set up furniture, demo, etc. (see images). The booth is equipped with 1 high table, 2 high chairs, 1 wired internet connection and 1 box containing 3 power sockets.
If you have special requirements, please add the information to the requirements form and they will be carefully considered.
We highly recommend the use of a PowerPoint presentation at your booth. The ARTEMIS-IA office can provide ~40” Full HD LED Displays (101 cm), screen resolution 1920x1080. Costs are € 275 (excl. VAT) per screen for the total duration of the event. Alternatively, you are allowed to bring your own display (or beamer).
In order to avoid last-minute orders, we would appreciate if you could complete a draft version of your requirements by 15 December 2014, to indicate whether you consider ordering additional booth equipment, as it will impact the required booth space, and consequently the floor plan.
Guided tours and Public Authorities tours are mainly planned around booths with demonstrating models. Please indicate in the requirements form whether you will present demo(s) at the exhibition. This information will not only be used to check the possibilities for additional booth requirements, but also to plan our event tours at the Co-summit exhibition.
Each booth will be equipped with 1 box containing 3 power sockets. You need to bring extra power sockets if needed. In order to check whether the power network will not be overloaded, we ask you to indicate the number of devices you will connect to the box(es) and an estimation of the total power consumption of the devices used in your booth (in Watt).
Each booth will be equipped with 1 wired internet connection. Furthermore, regular internet browsing (through WiFi) will be available for all attendees of the event.
To avoid conflicts with the venue's general WiFi network, it is not possible to bring your own WiFi router. If you have special requirements for WiFi like a dedicated network name (SSID) or a private local network (VLAN) for your demo, please contact us, so we can arrange your network requirements with the event venue. Please clearly specify the internet use for your project booth in the exhibition requirements form.
Additional requirements can be indicated in the extra box at the end of the requirement form. To avoid last-minute actions and higher costs, please indicate these special requirements as soon as possible, preferably before 15 December 2015.
